MicrOpay ESS - Include a public holiday in leave that has already been applied for in ESS

Public Holidays work in conjunction with the Work pattern so that when leave is applied for in ESS, the leave days are reduced by the Public Holiday days. The Public Holiday planner must be updated manually each year in MicrOpay, and the dates must be entered prior to the leave application being entered in ESS.

If you update the Public Holiday Planner and then submit an application in ESS, and the leave days are not correct:

  • Check that the Location attached to the employee in Pay Details on the Employee Record in MicrOpay is selected in the Public Holiday Planner.

  • Check that the employee has a work pattern and that the correct days per week are entered.

To review or update:

  1. Go to Payroll, Maintenance, Leave, Leave Planning, Public Holiday Planner.

  2. Edit the Public Holiday Planner.

  3. This will list each public holiday that has been assigned to the Planner. You need to include one for each year. I.e., New Year's Day will be included multiple times, once for each year.

  4. If the public holiday isn't listed, click Add.

  5. Select the Public Holiday. If the Public Holiday isn't available, you can create a new one by typing it in.

  6. Enter the Date.

  7. Repeat for all dates you need to include.

  8. Click OK to save.

If you have multiple planners, you will need to repeat the steps for each one.

Changes to Public Holiday Planners, the Employee record, or Work Pattern are not retrospective, meaning that any previously entered Leave Applications will not be updated once a change has been made. To correct the Leave Application in ESS, you will need to:

  1. Access the Employee in ESS and select Leave.

  2. Find the Leave Application and click on the ellipsis button (three dots).

  3. Select Cancel Leave.

  4. Re-enter the leave application. This time, the public holidays will reduce the leave.
