Implement HR Changes

Import data from your third-party system or the HR module

Implement HR Changes is a process that allows Users to accept changes made in the Human Resources module or another third-party system (e.g. ESS) into the Payroll database. The Payroll User can choose to accept the changes or they can be ignored if they are not required. You can also import new employees from third-party systems.

You will not be able to modify most of the information provided if it is wrong or causes an error. To modify the record, use New/Edit Employees (Payroll, Maintenance, Employees). For more information, refer to the article Import new employees and employee changes from a third-party or ESS?

If you use both the HR module and a third-party system to import changes from, you will have a Change to Implement box to select either Implement HR for the HR module or Implement eHR for the third-party system. You will need to implement changes for an employee from the HR module first. You will receive a warning if you don't.

If you update a default Cost Account through Implement HR changes, only the default cost account will be updated. Other components that use the default cost account, e.g. leave, will remain the same. To update all components with the new cost account, import the change in New/Edit Employees, where there is the option to apply the change to all.

To implement HR changes:

  1. Go to Payroll, Maintenance, Employees, Implement HR Changes.

  2. Use Items, Payroll Company, Pay Frequency to filter the records displayed, or leave all selected.

  3. If you want to preview the changes, click eHR Report. This will provide a detailed report of the changes to be implemented with the old and new values.

  4. If you need to edit a record, select the record and click Edit. This will display a limited number of fields that you can edit before implementing the record.

  5. Select the records you wish to accept by ticking Implement or tick Implement All to select all records.

  6. Click Implement. This will start the process.

  7. When the process is complete, the record will be either:

    • successful and have Accepted ticked and Implemented as Message / Reject Reason.

    • unsuccessful and the reason will be displayed in Message / Reject Reason.

  8. Click Close.

To ignore or reject HR Changes:

Ignoring or rejecting a record will stop the record from appearing in the Implement HR Changes window. The difference between the two is that you can display Ignored records in the window by ticking Show Ignored, whereas there is no way to retrieve Rejected records.

  1. Go to Payroll, Maintenance, Employees, Implement HR Changes.

  2. Use Items, Payroll Company, Pay Frequency to filter the records displayed, or leave all selected.

  3. Select the records you wish to ignore or reject by ticking Ignore or Reject for each record or tick Ignore All or Reject All to select all records. Any records marked as Ignore will no longer appear in the window unless you tick Show Ignored.

  4. Click Close.

  5. You will be prompted to Save the Ignored & Rejected changes status.

  6. Click Yes.
