Error: Record count or the transaction value doesn't match when uploading an EFT file to the bank software

Receive an error in the bank portal when uploading an ABA file that the sum of credit transactions doesn't match the total, or the number of records doesn't match the count

The exact error that you receive will depend on the bank software or portal. You may encounter one of the following errors or a similar variation.

  • Invalid data record count.

  • The total amount doesn't balance to the sum of the transactions.

  • Total value of credit transactions is not equal to the value in the trailer record.

  • The number of transaction records does not equal the number of records specified in the trailer record.

  • Sum of all credit transactions in batch doesn't match credit total.

  • The number of records in the file doesn't match the count.

These errors can occur if an employee's Account Name is missing from the Employee's Bank Details. When the Account Name is missing the employee's bank transaction will be included in the EFT Audit Report but excluded from the file.

To find the missing record, review the EFT Audit Report looking for a record that has no Account Name. Take note of the Employee Code. Ensure you have a copy of the employee's transaction (e.g. Transaction Report) before proceeding with the steps below, as you will need to re-key the transaction.

To insert the Account Name:

  1. Restore to the backup taken before the EFT file was generated.

  2. Go to Payroll, Transactions, Processing, Extended Timesheet.

  3. Enter the Employee.

  4. Highlight the entry in Transaction Summary and click Delete Selected.

  5. Next, go to Payroll, Maintenance, Employees, Employees.

  6. Edit the Employee.

  7. Select Bank Details and Edit the bank record.

  8. Enter the Account Name, click OK.

  9. Click OK to save the employee record.

  10. Go back to Payroll, Transactions, Processing.

  11. Open the transaction, e.g. Timesheet, Manual Calculation.

  12. Enter the Employee and re-key the transaction.

  13. Take a Backup, labelled Before EFT.

  14. Go to Payroll, Transaction, Import and Export, EFT Export.

  15. Enter the required parameters and click Preview to check the EFT Audit Report or EFT File to create the file. You will need to create the file when ready.

  16. Upload the new ABA file in your Bank Software.
