MicrOpay Evo - Update User Security

Update your users to apply security based on Payroll Company and Pay Frequency

The December 2025 MicrOpay Evo release included functionality to apply security permissions to Evo users based on Connection (Payroll database connected to Evo), Payroll Company and Pay Frequency in Insights, Data Views and Co-pilot. Two different methods can be used to apply permissions depending on whether the user is also an Agent in MicrOpay.

Once you have updated the Agent or users in Evo, refresh the data in Evo to apply the security changes. You can do this manually (see instructions below) or it is scheduled to update daily at 7:15 pm (AEST). Waiting for the scheduled update is a good option when security changes are not time-critical or won't disrupt users.

User is an Agent in MicrOpay

Add the Evo email address for the user to the Agent (including Admin users) in MicrOpay and the same permissions will be applied in Evo. For more information see add email address to existing Agent.

User is not an Agent in MicrOpay

If there is no corresponding Agent for the Evo user, you can apply permission in Evo based on the Payroll Company ID and Pay Frequency ID. The process you use to apply the permissions after the initial setup is different. Refer to the relevant section below.

To find the ID

  1. Open Analytics in Evo.

  2. Select Insights.

  3. Locate and click to open Table - Security Payroll Company and Table - Security Pay Frequency. The ID will be listed for each record along with the Connection Name.

Initial setup

In the initial setup, use the template and steps below to load all Evo only users for the first time. You do not need to include users who have an Agent in MicrOpay.

  1. Download the user template.

  2. Complete the template with user details and the Connection, Payroll Company and Pay Frequencies ID's the user can access. If the user can access more than one, they will need a separate line in the CSV.

  3. Log into Evo as an Administrator.

  4. Click the Access button.

  5. From Products, select Data Engine.

  6. Click on the menu (three lines in top left) button and select Tables & Views from Data.

  7. Expand Team, P - TA - Client and select MicrOpay - Security.

  8. Click Refresh (circle with arrows).

  9. From the Refresh Data window select Reload.

  10. Browse to locate your file, select it and click Open to load it.

  11. This will upload the data to the Data Engine.

  12. You can click on MicrOpay Security input Table.csv in MicrOpay - Security to review the users.

  13. The user security permissions will not be applied until you update Analytics with the changes. See section below.

Update security after initial setup

After the initial upload of users, each time you update user security, you need to load all current Evo only users. You do not need to include users who have an Agent in MicrOpay.

  1. Log into Evo as an Administrator.

  2. Click the Access button.

  3. From Products, select Data Engine.

  4. Click on the menu (three lines in top left) button and select Tables & Views from Data.

  5. Expand Team, P - TA - Client and select MicrOpay - Security.

  6. Click MicrOpay Security input Table.csv to open the table.

  7. Click Export (up arrow with line underneath) in the top left.

  8. Ensure Delimited (CSV) is selected as the Format. Click Export.

  9. The Exporting window will display with the progress. Click Download when complete.

  10. Open the file from your Downloads folder and update the file by:

    • adding new users

    • amending existing users

    • deleting users that are no longer required.

  11. Save the csv file.

  12. To upload the file, tick MicrOpay Security input Table.csv under MicrOpay Security in Tables & Views.

  13. Click Refresh (circle with arrows).

  14. From the Refresh Data window select Reload.

  15. Browse to locate your file, select it and click Open to load it.

  16. This will upload the data to the Data Engine.

  17. You can click on MicrOpay Security input Table.csv in MicrOpay - Security to review the users.

  18. The user security permissions will not be applied until you update Analytics with the changes. See section below.

Refresh data with the latest Evo Security changes:

  1. Log in to the MicrOpay Evo environment.

  2. Select Data Engine from the Access button.

  3. Click on the Menu button (three lines).

  4. Select Schedules under Automation.

  5. Expand the Team folder, then Z - SC - Client.

  6. Select the Update Evo Security. This will tick the box on the left.

  7. Click the Play button in the toolbar.

  8. The Last Run Result field will change to Running and the Duration will start to increase. When the process is finished, the Last Run Result will change to Completed.

  9. Your Evo users should now have their updated the user security permissions.
