MicrOpay ESS - Sync balances for Leave Report in ESS

Sync balances for Leave Report will update the Leave Report with members' approved leave hours, which have been sent to Payroll but are yet to be included in a pay run. Syncing Leave balances is especially important when leave applications are approved and the leave hours are updated from Not Yet Approved to Not Yet Paid. After the balances are synced, the approved hours will appear in the Pending Hours and Pending Days columns of the Leave Report. If balances are not synced first, these values can be excluded from the report.

Note: This process does not update the leave balances in Member profiles and leave applications. Member leave balances are directly updated via the Web API, each time entitlements are updated in payroll. If the leave balances on the Member profile don't balance to payroll, refer to the article below:


To Sync balances for Leave Report:

  1. Go to Settings, General.

  2. Select Sync balances for Leave Report for the chosen database.

  3. Then click Sync.

  4. You will receive a message asking if you would like to continue. Click Yes, sync leave balance.

  5. You can check the progress of the Sync under the WEB API LOG.

  6. Click on the Refresh button (circle with an arrow) to refresh the window.

  7. Check the messages displayed, it should start with:

    • Job Started.

    • Start get leave type and reasons from payroll.

    • Successfully got leave type and reasons from payroll.

    • Updating leave type and reasons to the database.

    • Finished updating leave type and reasons to the database.

The Retrieving Leave Balances will appear multiple times and Importing Leave balance will appear for each employee.

Note: Once a Sync has been started, the Sync button will be greyed out. If you need to Sync a second database, you will need to leave the screen and then come back, e.g. go to the Dashboard and then come back to Settings, General.
