Superannuation Processing file creation

Superannuation Processing is used to produce a File to send to your Clearing House or Superannuation Fund, containing the employee details, their Employer and Employee Contributions.

Before you finalise your Superannuation, you should verify the values. When Pay to Fund is ticked and the file produced, it will clear your Contributions Due columns, so as not to include them in the next file. You should tick Pay to Fund when you are ready to mark the contributions as processed and ensure you take a backup beforehand. Ticking Pay to Fund will also exclude from the Report and File records those that have zero contributions due.

Processing

  1. Take a Backup.

Notification Method: File

  • Fund: <All>

  • Payroll Company: <All>, unless you only want to select one company at a time.

  • Location: <All>

  • Pay Frequency: <All>, unless you want to do one Pay Frequency at a time.

  • Process To: This is the last pay period date that you want to include in the file/report.

  • Pay to Fund: * Leave this unticked!

  • Include Terminated with no Contribution Due: Ticked

  • Append File: Always Ticked

Process Details

  • Contribution Start: The first Period End you want to include in this file/report.

  • Contribution End: The last Period End you want to include in this file/report.

  • Periods: The number of pay periods between the above dates, i.e, for weekly pays, there may be 4 weeks between the two dates.

  • Unique Reference: Optional - leave blank if unsure.

Display Options

  • Report by Employee's Current Location: Optional - leave blank if unsure.

  • Double Sided Page Break: Optional - leave blank if unsure.

  • Include Report Totals: Tick.

  • Include Express Super Funds in Report: Only tick this box if you have Express Super Funds.

2. Preview and ensure that the values are correct. The reports contain various columns; the values in Contribution Due will appear in the File, and these values are transferred to employees' super funds.

3. Once you are happy with the values, ensuring that the Contribution Due balances with your other reports, print and Close the Print Preview screen.

4. On the Monthly Superannuation Processing screen, tick the Pay To Fund box and select the File box at the bottom of the screen.

5. The Pay To Fund box will clear out the Contribution Due values, and if you want to redo the process, you will have to restore the backup.

6. When you receive the File Already Exists message, select Yes to All.
