Create Significant Dates

Create or add an alert for employee anniversaries or birthdays.

Significant Dates enables you to define and record significant dates, which can be added to employee records. These are reminders for events and won't automatically trigger changes in MicrOpay. The events can be either recurring, e.g., birthdays or anniversaries, or one-off, e.g., end of probation, expiry of contract. These dates can be reported on as required. When you produce the Significant Date Report, you will have the option to clear one-off events or to roll dates that have been set up to repeat.

If you use Pay Classes for employee rates and you want to automatically change the Classes on a certain date, e.g., the employee's anniversary or birthday, see Pay Class Auto Increments.

Note: If you are copying your new employee from an existing employee that has Significant Dates attached, once you say ok to the copy and open the new employee, the new employee will have no Significant Dates attached.

Add a Significant Date

  1. Go to Payroll, Maintenance, General, Significant Dates.

  2. Click Add.

  3. Enter the Code. This is alpha-numeric and will display in dropdown lists. Once defined, it cannot be changed.

  4. Enter the Description. This is the title for the significant date. For example, Birthday, Anniversary, End of Probation, 20th Anniversary. The descriptions can be edited.

  5. Select Repeat.

    • No, for a one-off event, e.g., 5th anniversary date or End of Contract.

    • Yearly for events that occur on the same date each year, e.g., Birthday, Anniversary.

    • Monthly for events that occur each month, e.g., Commission payments.

  6. Allow Clear on Print for dates that you want to remove from the employee record after the report is printed or previewed.

  7. Click OK to save.

Attach to the employee

  1. Go to Payroll, Maintenance, Employees, Employees.

  2. Edit the employee.

  3. Select Significant Dates.

  4. Click Add.

  5. Select the Significant Date in Description.

  6. Enter the Date. This should be the next date for repeating dates, e.g. their next birthday, or the date of the one-off event, e.g. the date their probation finishes.

  7. Repeat will default from the Significant Date setup. You can change this if required.

  8. Click OK and then OK again.

Run the Significant Date Report

You can run the report to find out what dates are upcoming. When you run the report, you can also roll over any repeating Significant Dates or remove any dates that are set to clear on print.

  1. Go to Payroll, Reports, General, Significant Dates.

  2. Select the Payroll Company, Location and From Employee and To Employee. To include all employees leave From Employee and To Employee blank.

  3. To run for one Significant Date, select the same one in From Significant Date and To Significant Date. Or to include all Significant Dates, leave both blank.

  4. Select the Pay Frequency and use From and To to set the date range. The report will include any Significant Dates that occur within the date range based on the parameters.

  5. If you want to remove the Significant Date from the employee record as it has expired, e.g. Probation, tick Clear Date.

  6. Tick Roll Dates to update the Significant Date on the employee's record, based on the Repeat field.

  7. Click Print or Preview.
