Import transactions from Time and Attendance

What are the file specifications for an import file and how do I import from a T&A?

Transaction Import is designed to import transactions from a Third-Party or Time and Attendance system. You can import transactions from a:

  • MIF file

  • Batch file from API

MIF File

Batch File from API

To import a Batch, you need to select Batch as the Source. This is only available when Integration has been enabled. To do this, log in as an Admin user:

  1. Go to Access MicrOpay Evo Administration, System Configuration, System Wizard.

  2. Select the Access Control tab.

  3. Tick Enable Integration.

  4. Click Finish.

  5. You will need to log off and back in to see the change.

To import transactions:

If your import file only includes leave and you tick Add balance of hours, we recommend importing the .mif file first. If the import file relates to employees who do not have leave or is the total number of hours to be paid, then the order doesn’t matter.

  1. Take a backup of your database.

  2. Go to Payroll, Transactions, Import and Export, Transaction Import.

  3. Select the employee range at From Employee and To Employee. Leave these blank to import everyone.

  4. At Import Source, select File or Batch.

    • If you select File, navigate to your MIF File using the page icon on the right of the File field.

    • If you select Batch, select the Batch from the drop-down to import. You also have an Edit button available.

  5. Select Existing Transactions:

    • Append - If a timesheet exists, e.g. Pay Advice 1, the import will create an additional timesheet, e.g. Pay Advice 2.

    • Merge - If a timesheet exists, the information in the import will be added to the existing timesheet. E.g., leave has been entered for an employee and hours are now being imported into the same timesheet.

    • Overwrite - If a timesheet exists, it will be replaced with the imported transaction.

  6. Reject if On Leave will exclude an employee's transaction where a recommencement date is encountered. If the checkbox isn't selected, a warning is displayed in the Import Audit Report where an employee has a recommencement date.

  7. Reject if Terminated will exclude transactions from the import where an employee record has a termination date. If the checkbox isn't selected, a warning is displayed in the Import Audit Report when an employee record has a termination date.

  8. Tick Payroll Manager file format to import a MIF file in this format.

  9. Select Bypass Standard Additions and Deductions to exclude standard additions and deductions from the transactions. This option is not available when you select Merge.

  10. Select Bypass Bank Splits if you don't want to split the Net Pay between bank accounts. The imported transaction will only include the Balance of Pay account. This option is not available when you select Merge.

  11. Tick Add Balance of Hours to add the remaining hours as Normal Pay to the transaction. This is based on the Employee's Normal Hours Paid. And will add 15.2 hours Normal if 22.8 hours of leave is imported for an employee with 38 Normal Hours Paid.

  12. Click Import.

Once you have imported transactions, the Import Audit Report will appear on the screen. Review for any errors or messages. Print or save a copy of the report, as you can't reproduce the report. Review the Transaction Report to verify what has been imported. Add any additional hours and continue with your payroll process.
