Include Public Holiday in a Transaction

Enter a transaction that pays a day as Public Holiday (taken) instead of Normal hours

The Public Holiday Planner is used to reduce leave applications by any public holidays that occur during the leave period. It will not automatically include an entry in transactions when a public holiday occurs. You can pay employees who take the public holiday in one of two ways:

  • Include the public holiday in the Normal hours

  • Pay the public holiday as Other Leave with a Public Holiday leave reason

How you enter Other Leave with a Public Holiday leave reason will depend on how you enter pays. If you:

  • Use Extended or Express Timesheets:

    • reduce the Normal hours by the public holiday

    • include Other Leave with the Public Holiday leave reason

  • Import transactions using either an import file or batch:

    • include the Other Leave with Public Holiday leave reason in the file or batch

  • Use Autopay or Leave Processing to import leave from a third party and tick Add Balance of Hours:

    • after generating Autopay or Leave Processing, use Multi Employee Timesheet (MET) to add Other Leave with Public Holiday leave reason and negative Normal hours

To use Multi Employee Timesheet (MET):

  1. Go to Payroll, Transactions, Processing, Multi Employee Timesheet.

  2. Right-click in the grid and select Customise Grid Columns.

  3. Ensure the grid includes the following fields, you can include more columns than below. You can also remove columns from the grid.

    • Employee

    • Normal Hours

    • Other Leave Hours

    • Other Leave Reason

    • Other Leave Start

    • Other Leave End

  4. Close the Customization box.

  5. For each employee:

    • Select the Employee.

    • Enter negative Normal Hours.

    • Enter positive Other Leave Hours, Other Leave Reason code, Other Leave Start date and Other Leave End date.

  6. Click Process to add to the existing timesheet transactions.

  7. When you review the transaction, you will see two lines of Normal Hours. One created by Autopay or Leave Processing and a second with negative hours from MET.

MET has the functionality to create a template that you can use to enter public holidays. To do this, click Save when you have included everything you need on the template. This will create a mef file that you open in MET. The template can be created at any point, prior to process and can include the Employees and hours.

Alternatively, you can use Save Grid to create a CSV file that can be completed outside of MicrOpay Evo and use Import to load the transactions.
