End of pay process

How to run end of pay or close off the pay period

The Pay End process updates all pay values and pay classes, transfers figures from the current pay to month-to-date and year-to-date figures including STP Update, updates system files and clears the transaction file ready for the next pay run.

Before proceeding with this process, ensure that you have performed a backup of your database, as this process cannot be reversed in the event of data corruption or process interruption due to power failure or similar events.

If the process is being performed on a network, not a stand-alone machine, all users must be logged out of the payroll company before you proceed. If you are using MicrOpay on a stand-alone machine make sure that you only have one screen open in MicrOpay.

  1. Go to Payroll, Transactions, End of Period, End of Pay.

  2. Select the Pay Frequency. You can choose more than one.

  3. For each pay frequency:

    1. Confirm the End of Next Period. The date will default to the current period end date plus the length of the frequency, overwrite if this is not the next period end date.

    2. Check Month. This will default to the month of the end of next period date. It is used to assign period end dates to a month for the Payroll Tax Wages Report.

    3. Tick Leave Entitlements if you want to process them as part of the end of pay. You can untick this field if you don't want to update leave when closing off a period, e.g. bonus or adjustment pay runs. You won't accrue leave again if you ran the update leave entitlements process earlier in the pay run.

    4. Update Leave is the date the leave will be updated to. This will default to the current period end date but can be changed if required.

  4. Select OK when all fields have been checked.

  5. The process will then commence. The last line will advise a successful completion. You can scroll up through the log to check what has been updated.

  6. Select Close.
