Difference between Entitlement and Pro rata

The Employee Leave screen displays the details of leave entitlement, pro-rata and taken.

Leave Balance Fields

  • Entitlement: The Entitlement field displays the hours and days of unused leave entitlement as at the last Entitlement Date. For employees within their first accrual period (first 12 months for Annual and Sick Leave), this is likely to be zero.

  • Pro rata: The Pro rata fields display the hours and days of leave for the current accrual period, and the last date the leave was updated.

  • Leave Taken: The leave taken field displays leave processed since the last entitlement date.

When the employee reaches the end of the accrual period, e.g. for Annual Leave 12 months from the entitlement date and you process Update Leave or End of Pay, the balance of unused leave will be rolled into Entitlement and Pro-rata and Take will be reset to zero. For example, for an employee with the Entitlement Date of 6 October 2024, the following changes will occur on the Employee’s Leave Screen when leave is updated for the first period end after 6 October 2025:

  • The Entitlement date will change from the 6 October 2024 to the 6 of October 2025.

  • Pro-rata hours are added to the entitlement hours.

  • Taken hours are subtracted from the entitlement.

  • Pro-rata and Taken are reset to zero.

  • Pro-rata will accrue to the Update Leave Date.
