Long Service Leave on the Leave Summary and Liability Report

Show LSL balance for employees who are not yet entitled on the Leave Summary and Libility Report

Updated over 2 months ago

The Leave Summary and Liability Report will display employees' Long Service Leave once they have reached their Entitlement or Pro Rata Entitlement. LSL will display in the following scenarios:

  • The employee

    • is on the first LSL class

    • length of service based on the Hire Date exceeds the Pro Rata Entitlement setup on the LSL class

    • First Entitlement Period on the Employee's Long Service Leave is ticked.

  • or the employee

    • is on the second or subsequent LSL class

    • First Entitlement Period on the Employee's Long Service Leave is unticked.

Tip: For employees attached to the correct Long Service Leave Class who have exceeded either the Entitlement or the Pro Rata Entitlement period, you can untick First Entitlement Period in LSL on their record and the balances will show on the report.

Note: Unticking the First Entitlement Period can have an impact on whether LSL is paid out on Termination. If you leave the field unticked on the employee record, you will need to check that LSL paid out on a Termination is correct.

To include employees who don't display, you could use one of three alternative reports:

  • Long Service Provision (Payroll, Reports, End of Pay) - this breaks the Long Service Leave down into Contingent (Pro-rata leave for employees who have not exceeded the Pro-Rata Entitlement), Pro-rata, and Entitled Leave. And includes totals per Cost Account or Location by years of service.

  • IQB-LV003 - Payroll Leave Liability (Common, IQ) - this displays the employee's current leave balances in hours, days, and liability, but can't forecast. Annual, Sick, and Long Service Leave are included, separated into Pro-Rata and Entitlement.

  • IQB-LV008 - Payroll Leave Liability (new) (Common, IQ) - this displays the employee's current leave balances in hours, days, and liability, but can't forecast. It includes a separate line per leave type attached to the employee, separated into Pro-Rata and Entitlement.

If the above doesn't meet your requirements, you can make a temporary change to the Long Service Leave and then run the Leave Summary and Liability Report.

Before completing the below, ensure that all users are logged out of MicrOpay Evo and that the Pro-Rata Entitlement is returned to its original setup once you have produced the Report. If you don't, you could potentially over-accrue Long Service Leave or incorrectly pay Long Service Leave on a Termination.

  1. Ensure all users are out of MicrOpay.

  2. Go to Payroll, Maintenance, Leave, Long Service Leave.

  3. Edit the Long Service Leave class.

  4. Under Pro-Rata Entitlement, change the Number to 1 and Per Period to Day.

  5. Click OK to save.

  6. Repeat steps two to four for all required Long Service Leave classes.

  7. Go to Payroll, Reports, End of Pay, Leave Summary and Liability Report.

  8. Run the report according to your requirements.

  9. When complete, go back to Payroll, Maintenance, Leave, Long Service Leave.

  10. Edit the Long Service Leave class.

  11. Under Pro-Rata Entitlement, change the Number and Per Period back to their previous values.

  12. Click OK to save.

  13. Repeat steps nine to eleven for all required Long Service Leave classes.
