How to run MicrOpay IQ Reports

IQs are reports that retrieve data from the currently selected company database using queries, called IQ Queries. When the IQ Query is run, the results are displayed in a grid. The grid can then be saved for use in other applications or displayed on a chart.​

IQ Queries can retrieve large volumes of data. Often, this will provide more information than required. You can customise the IQ to return only relevant data. This is done by selecting an existing IQ query, clicking Edit and updating the columns included to your reporting requirements.

Run IQs

Some queries don't have parameters to extract the data.

Other queries, especially complex or large queries, have parameters that allow you to filter the data so only relevant records are returned.

Run an IQ Query without Parameters

  1. Go to Common, IQ.

  2. Double-click on the IQ. This will run the IQ and display the results in a grid.

Run an IQ Query with Parameters

The parameters in an IQ are determined by the SQL Statement. The IQ retrieves data based on the parameters entered at the time of running.

  1. Go to Common, IQ.

  2. Double-click on the IQ. This will open the Modify Enquiry Parameters Values window.

  3. Enter the Parameter value(s) in the Value field(s).

  4. Click OK to run the IQ Query.

  5. When the IQ Query is run, the results will display in a grid.

Once displayed in the grid, information may be exported.

Data in the IQ grid

Once the data has been extracted to the grid, you can filter, sort, Customise Grid Columns to add or remove columns and use Save Grid to export, e.g. Excel.

Customise Grid Columns

To add or remove fields:

  1. Right-mouse click in the grid and select Customise Grid Columns.

    • All available fields are displayed in the Customization window. If there are no fields in the box there are no more fields included in the query.

    • Fields are arranged alphabetically.

    • To quickly locate a field, click in the customization window and type the first letter of the desired field.

  2. Select the field required and drag it to the header line.

  3. To remove a field, drag the field name from the headers to the Customization window. The field will be removed from the current display.

Group/summarise data

To summarise or group the data:

  1. Drag the field that you want to group by into the row with 'Drag a column header here to group by that column'. You can add other fields to create subgroups.

  2. Records are displayed grouped by the chosen field. A count of records per group will be displayed.

  3. To expand the grouped data, click the + (plus sign).

Filter data

You can filter by any of the column headings. To do this:

  1. Click the filter (funnel) button on the right of the heading you want to filter.

  2. Tick the required options in the displayed list. For example:

    • To show current employees, tick either Blank in the Terminated Date field or False in Terminated.

    • To show employees in three locations, tick the required locations.

  3. In the bottom left of the screen, a red cross and a blue tick will appear. This indicates that a filter has been applied.

  4. To remove the filter, click the red cross.

Sort data

To sort the data, click on the field that you want to sort by. By default, the sort order is alphabetical or smallest to largest. To reverse the sort order, double-click the heading.

Export data

You can export the data using Save Grid.

  1. Click Save Grid at the top of the screen.

  2. Select where to save the file.

  3. Enter a File Name.

  4. Use Save as type to select the file fomat, e.g. Excel.

  5. Click Save.

  6. Once the file has been saved, an option to view the file will appear. Click Yes to view your data.

Troubleshooting Performance Issues

When working with large datasets, you may encounter errors or crashes. To avoid these issues:

  • Limit the date range. Run the report for shorter periods, such as three months at a time.

  • Reduce visible columns. Only include essential fields in the grid to minimise data load.

  • Split large datasets. For organisations with a large headcount, run multiple smaller exports and combine the results in Excel.
