Leave Rates may be used to pay an employee’s leave using a Fixed Rate or one that is calculated based on a Formula. This rate will usually differ from Normal, Award or Other rates. The use of formulas is primarily supported for users with the New Zealand module.
A fixed Leave Rate may be used to set up a rate to pay leave such as Workers Compensation Make-Up pay.
To set up a Leave Rate for an employee or employees:
To use a Leave Rate to pay an Employee, you need to:
Set up the Leave Rate.
Attach the Leave Rate to a Leave Reason.
Add the Rate Type to the Employee Record.
Cost the leave to a specific Cost Account (optional).
Set up a Fixed Leave Rate
Go to Payroll, Maintenance, Rates, Leave Rates
Click Add.
Enter a unique Code.
Enter a unique Description.
Ensure that the Rate Type radio button is set to Fixed.
Leave the Fixed Rate field blank. The rate is entered in the Employee Record. A rate can be entered if it is to be applied to all employees using this Rate Type.
Click OK to save.
Set up the Leave Reason
Go to Payroll, Maintenance, Leave, Leave Reasons
Click Add.
Enter a unique Code.
Enter a unique Description.
Select a Cost Account if the Leave Reason is to be costed to one specified Cost Account otherwise, leave the field blank. See below for the option to add a specified Cost Account to the Employee Record for Leave Reasons.
From the Rate Type dropdown, select the new Rate Type.
Add the Rate Type to the Employee Record
Go to Payroll, Maintenance, Employees, Employees
Edit the relevant employee.
Click Rate Details.
Select the Leave Rates tab.
Click Add.
Select the Rate Type from the dropdown.
Enter the rate in the Fixed Rate field.
Click OK
Where the Leave Reason is to be costed to a specified Cost Account for the employee (optional)
Go to Payroll, Maintenance, Employees, Employees
Edit the relevant employee.
Click on Cost Accounts.
In the Other Leave Reasons section.
Click Add.
Select the Leave Reason from the dropdown.
Select the Cost Account from the dropdown.
Click OK.
Click OK to save the Employee Record.
