MicrOpay ESS - Import leave to MicrOpay from ESS

Why do I have the following message in the Leave Processing window: 'There is no (not on hold) Leave to Process'

Leave applications sent to MicrOpay Evo will appear in Leave Processing, ready to be imported into transactions. For ESS, this happens when the applications have been approved. The leave in Leave Processing will be unprocessed leave applications with a start date before the current Period End Date for the selected Pay Frequency. Where the leave application spans multiple periods, you will see the hours that occur within the current period or earlier.

For leave applications that are not approved when you process leave, you can do another leave import for the same period once this leave has been approved. Any leave already processed will not be processed again.

If a leave application is missing from Leave Processing this could be because:

  • The application hasn't been approved in ESS. Check ESS.

  • The application has incorrect dates. Check ESS

  • You have restored the database to before the leave application was approved. If this is the case, you can enter the leave directly into a transaction.

The message 'There is no (not on hold) Leave to Process' usually indicates that there is only on hold leave applications for the selected Pay Frequency.

  • If these applications should not be on hold, untick On Hold, then process the leave.

  • If there is a mix of On Hold and not On Hold leave and you receive the message:

    1. In the Leave Processing window, take note of which leave is currently On Hold. Use Save Grid to export the leave, if required.

    2. Untick On Hold for all On Hold leave.

    3. Tick On Hold for the leave that should be On Hold.

    4. Proceed with Leave Processing.

To import leave into MicrOpay Evo from ESS:

  1. Go to Payroll, Transactions, Import and Export, Leave Processing

  2. Enter a Description for the batch.

  3. You can filter the leave for specific Payroll Companies or Locations or use the default value of all.

  4. Choose the Pay Frequency. You can only process leave for one Pay Frequency at a time. The current Period End Date for the Frequency will be displayed.

  5. Select the Existing Transactions option. The default is Append, which creates separate transactions to process the leave hours. The other options are Overwrite (deletes and replaces the existing transaction) or Merge (adds leave hours to the existing transaction).

  6. Choose any other processing options that you want to apply:

    • Bypass Standard Additions and Deductions

    • Bypass Bank Splits

    • Add Balance of Hours

  7. Click Preview to load leave entries into the grid.

  8. Review the leave and tick On Hold for any applications you don't want to process.

  9. Click Process.
