MicrOpay ESS - Long Service Leave is showing for an Employee who is not yet entitled in ESS

LSL balance is incorrectly displaying hours for an employee who is under 10 years service in ESS.

An Employee's Long Service Leave balance in ESS will include any hours that are in the Entitlement field. It can also include the Prorata hours depending on the setup of Leave in ESS. To review the setup, follow the steps below:

Check the employee's leave balance in MicrOpay

  1. In MicrOpay go to Payroll, Maintenance, Employees, Employees.

  2. Locate the Employee and Edit.

  3. Select Leave and then the Long Service Leave class.

  4. Check the leave balances.

  5. If the employee is yet to reach their Entitlement but has hours in Entitlement, these will display in ESS. You can move the hours to Prorata by adding them to the existing Prorata hours and removing the Entitlement hours.

Note: Leave will not accrue in excess of the maximum entitlement. Increasing the hours in prorata may mean that the employee reaches or exceeds this maximum before they have reached their Entitlement period, and they won't accrue additional hours. You may need to review what hours the employee should have in their record.

Check the Leave Settings in ESS:

  1. In ESS, go to Settings, Leave.

  2. Review the setup for Long Service Leave.

  3. To make changes, click Edit (pencil in a square).

  4. If Include pro rata calculation is ticked but Only once entitlement reached isn't, then all employees will see their Prorata balance regardless of their length of service. To ensure that LSL balances only display once the employee is entitled, tick Only once entitlement reached, in addition to Include pro rata calculation.

  5. Click Save.

This will make sure that an employee who has reached their first entitlement will see their total balance, and any employee who is yet to reach their first entitlement will not see a balance in ESS.
