MicrOpay Onboarding was introduced in version 9.3 SP2 (June 2024), and by default, this feature was turned on for all customers.
If the Onboarding feature was previously turned off and you now want to opt into or turn on the Onboarding feature, follow the steps below. You can also use these steps to complete the Opt In process. You will only be able to complete these steps if you are on version 9.3 SP2 or higher.
Step One - Confirm Onboarding is set to Opt In
Log into MicrOpay as a user that belongs to the Administrators group.
Go to Access MicrOpay Administration, System Configuration, Onboarding Setup.
Confirm Opt In has been selected.
Click Save.
Step Two - Check USI is attached to Funds
The USI (Unique Superannuation Identifier) is used to match the new employee's chosen fund with existing funds in MicrOpay. It should be entered for all APRA funds. When a match is found, the New Employee Wizard with auto-fill the Super Fund's Code and Description. If no match is found, the employee's chosen fund will be treated as a new fund, and you will have the option to create a new Fund record from the details supplied by the employee. To check and update the USIs:
Go to Payroll, Maintenance, Superannuation, Fund.
Right-click in the grid and select Customise Grid Columns.
Drag USI into the grid as a header and close the Customization box.
Review the USI for each fund.
If you need to update or add a USI, select the Fund and click Edit.
Enter or amend USI.
Click OK to save the record.
Note: Funds set up as the employer's Default Super Fund must have a USI to be listed in the Onboarding super page as an option for the new employee to select.
Step Three - Update Payroll Company
When Onboarding has been flagged as Opt In, the Onboarding tab will be available on the Payroll Company record. You can use these fields to customise information in the invitation email sent to the new employee. To include your company logo in the invitation, the URL needs to be a web-accessible location that directs to the logo and not a link to where the file is stored. For example, a location on your company website and not a link to SharePoint.
Go to Payroll, Maintenance, General, Payroll Company.
Edit the Payroll Company.
Check the details are correct. Invitations cannot be sent to employees if details are missing, e.g., phone number.
To define a Default Super Fund, select the Super Fund.
Select the Onboarding tab.
Company Name will default with the Name from the Payroll Company tab. You can update this if you want a different name to appear on the invitation email.
Enter a web-accessible location as the Logo URL if you want to include your company logo.
The Support Email and Support Phone Number are your company contact details (e.g., Payroll or HR's contact details) should your new employees require assistance with the Onboarding process.
Click OK to save.
