New Zealand - Set up Payday Filing for NZ

Create NZ Payday Filing and what triggers the inclusion of transactions and determines the Payment Date

Payday Filing is the feature used to generate payday files. Payday files are lodged with the IRD to meet employer reporting obligations.

Two files can be created when you complete Payday filing:

  • The Employee Details (ED) File, which reports new employees, existing employees with reportable changes to their Personal, Tax or Superannuation Details and terminated employees. This file is only created when there is something to report and will therefore not be produced every time. Data includes:

    • Employee Name

    • Date of Birth, Hire and Termination

    • Address and Contact information

    • Tax details

    • KiwiSaver Eligibility and Status

  • The Employment Information (EI) File is produced each time employees are paid and includes details of pay and employer deductions for the current pay period. Data includes:

    • Employee Name

    • Tax details

    • Employment and Period Start and End Dates

    • Earnings, Deductions, Tax and KiwiSaver values

The values in Employment Information (EI) file are the net result of all transactions in the period. Where you have reversed a payment and the net result is negative, Payday filing cannot produce a report or file for a negative value. Therefore, the value will display as zero. You will need to amend the values directly on the IRD website.

Generate Payments, where you create your Bank file to pay employees, is the trigger to compile the Payday Employment Information (EI) for all paid employees, regardless of whether they are included in the bank file. The Batch Due Date entered in Generate Payments is used in the Employment Information file as the Payment Date. The Batch Due Date defaults to today's date, but can be changed. The Payment Date in the Employee Information file represents when your employees actually receive their pay. It's important for payday filing as the Employment Information file should be reported to the IRD within two days of this date.

Note: When reviewing Payday Filing, all Student Loan values will be on the Print Report and the Employment Information (EI) file that you upload to the IRD as separate columns. However, SLCIR, SLBOR and ESS (Employee Share Scheme) do not appear in the Employment Information Grid that you access by clicking Employment Information in the Payday Filing window. The grid will only display Student Loan.
