New Zealand - Adjust the Student Loan as a one off

IRD (Inland Revenue Department) requests that we change or reduce the Student Loan value for an employee for one period

Updated over 2 months ago

There may be a requirement by IRD to modify the Student Loan value, e.g. the employee's Student Loan Balance is less than their repayments and the IRD has requested (via a letter) that you change the Student Loan value in the last period.

For more information on Student Loans and how to set up ongoing changes to the Student Loan deductions, refer to New Zealand - Student Loan set up.

For a one-off change, enter the Employee’s transaction using Manual Calculation:

  1. Go to Payroll, Transactions, Processing, Manual Calculation.

  2. Select the Employee.

  3. Click Add.

  4. In Pay Calculation, select all options.

  5. Enter the transaction details, e.g. Normal hours, Additions, etc.

  6. Once all payments have been entered, untick Tax from Pay Calculation.

  7. Select Tax (Incl Adjust) from the Pay Summary.

  8. Overwrite the value of the Student Loan as advised by IRD.

  9. Check the Tax (Incl Adjust) is correct, it should equal PAYE Tax plus any Student Loan values.

  10. Process the Transaction.
