New Zealand - Error: 'Invalid header record supplied in the uploaded file. Update the header record and resubmit the file.' when uploading the ED (Employee Details) file to the NZ IRD

You can receive this message: 'Invalid header record supplied in the uploaded file. Update the header record and resubmit the file.' for a number of reasons:

  • The ED file has been opened in Excel and saved prior to uploading the ED file. When the file is opened in Excel, the leading zeroes are dropped off. You should not open the file in Excel and then save it.

  • You upload the Employee Details (ED) file after uploading the Employee Information (EI) file.

  • If you loaded the ED file in the EI tab on the myIR website. You will receive a number of errors. In addition, you need to upload the EI file in the EI section of MyIR.

If you need to recreate the ED file in the event that you have changed the formatting (opened and saved in Excel), you can either:

  • Restore the database to before you completed Payday Filing (Payroll, Transactions, Import and Export) and repeat the process.

  • Remove the Date Last Reported on ED from the Taxation Details of the Employee record. Then you will be able to recreate the ED file when you open Payday Filing (Payroll, Transactions, Import and Export).
